Accommodation is held at the following hotels. We recommend you book at least 60 days prior to the conference as hotels require unsold rooms to be released at 90, 60 and 30 days prior.

Within 30 days of the conference you will need to contact the hotel directly to see if the Conference rates are still available and whether there is any availability.

All rates are per room, per night and do not include breakfast, unless otherwise specified.

Important Information

Bookings

The online registration form allows you to book available rooms for the nights of the conference.

You need to provide credit card details, which will be forwarded to the hotel to guarantee your booking.

Please email us your accommodation requirements if you have already registered for the Conference.

Early Check-in Requests

Early check-in and late check-out requests are subject to availability on the day and cannot be confirmed by Conference Design.

You can enter special requests for early check-in in the “Special Requests” field of your reservation. The hotel will do its best to accommodate your request on the day. Please enquire about the status of your request at the front desk upon check-in.

Extended Bookings

We have held rooms for the nights of the conference. Please email us if you wish to extend your accommodation booking before or after the Conference dates.  We will confirm the availability with the hotel and send you a new confirmation.This is subject to availability and additional charges may apply.

Changes and Cancellations

Cancellation and no-show policies apply to all hotel bookings and are listed with hotel description.

Cancellations less than 30 days prior to the conference and no-shows will attract a fee of at least one night’s accommodation. However, each hotel’s policy varies and late cancellations and no-shows may be charged for all the nights booked.

Please read cancellation policy carefully before you book accommodation. 

If you need to change or cancel accommodation booking made with Conference Design, please email our team, not the hotel.

Payment

When you book accommodation, you can choose to pre-pay by having the accommodation cost included on your conference invoice or you can pay with a credit card when checking out.

All incidental expenses need to be settled using a credit card when you check out unless otherwise specified.

If you choose to pay for the accommodation in advance, the total cost of the accommodation will be included on your conference invoice. Any pre-payments made to Conference Design need to be received 30 days prior to the conference and will be forwarded to your hotel.

Please email us if you wish to be invoiced for your accommodation and did not indicate this during online registration process.

You can arrange to pay your accommodation using a third-party credit card, e.g. a colleague’s work credit card, by completing the hotel’s Credit Card Authorisation form available under hotel description. Please send completed credit card authorisation form to your hotel.
